These Terms & Conditions ("Terms") apply to your use of the Topi Adventure website and to every travel service you book through us. Please read them carefully before you book.
By browsing this website, sending us an enquiry or confirming a booking, you confirm that you have read and accepted these Terms on behalf of yourself and every person named on the booking. If you do not accept them, please do not use this website and do not confirm a booking.
Agreement to these terms
These Terms work together with our Booking Terms & Conditions and our Privacy Policy. The Booking Terms contain the deposit, payment and cancellation rules that apply to your trip. Where a booking-specific term differs from these Terms, the Booking Terms apply to that booking.
Book in good faith, pay on time, travel with insurance, follow your guide, and respect Tanzania and its wildlife. In return, we will look after you from your first enquiry to your last day on safari.
Definitions
In these Terms, the following words have these meanings:
- "Topi Adventure", "we", "us" and "our" mean Topi Adventure of Moshi, Kilimanjaro, Tanzania, and, where relevant, the operator of your trip, Wild Boar Safaris Limited.
- "you", "traveller" and "client" mean the person who makes the booking and every person travelling under it.
- "trip", "tour", "package" and "services" mean the safaris, treks, transfers, accommodation, excursions and other arrangements we agree to provide.
- "Booking Terms" means our Booking Terms & Conditions, which form part of these Terms.
- "Force Majeure Event" means any event beyond our reasonable control, as described in section 10.
Booking and how your contract is formed
An enquiry, a quotation or an itinerary is an invitation to travel. It is not a confirmed booking. A contract between you and us is formed only when we have received your deposit (or full payment) and issued a written booking confirmation.
A quotation and every price on this website are subject to availability and may change until a booking is confirmed. Once confirmed, your price is guaranteed except where a government or park fee changes, as explained in section 4.
Please do not book flights or visas until you have received our written booking confirmation.
Prices, quotes and inclusions
Our prices are quoted in US dollars and are based on the information you give us, the season and the availability of the services at the time of quoting. A quotation is valid for the period stated on it, or for 30 days if no period is stated.
Park fees, concession fees, government levies and supplier rates can change. If a change occurs after your booking is confirmed, we will pass on the difference to you, with written evidence of the change. We will never increase our own margin after a booking is confirmed.
Typically included
- Accommodation and meals as stated in your itinerary.
- All park, conservation and crater service fees for the itinerary confirmed.
- A private 4x4 safari vehicle with a professional driver-guide, fuel and unlimited game drives.
- Kilimanjaro: licensed guides, porters, cooks, park fees, camping fees, tents and mountain meals.
- Airport transfers and ground transport as described in your itinerary.
- Government taxes applicable at the time of booking.
Typically not included
- International and domestic flights, and departure taxes.
- Tanzania visa fees and travel insurance.
- Drinks, tips, laundry, souvenirs and personal items.
- Kilimanjaro personal gear and equipment hire.
- Optional activities and excursions not listed in your itinerary.
Payments
The deposit and balance arrangements for your trip are set out in our Booking Terms & Conditions and on your invoice. In summary:
- A non-refundable deposit confirms your booking. Our standard deposit is 20% of the trip cost, unless your invoice states otherwise.
- The balance is due no later than 30 days before your trip start date.
- Bookings made within 30 days of travel are payable in full at the time of booking.
- We accept bank transfer and, where available, secure card payment links. Card payments may carry a processing fee, which we will always confirm in advance.
- Please send us your payment confirmation so that we can match it to your booking and hold your dates correctly.
Cancellations, changes and refunds
Cancellations, amendments and refunds are governed by our Booking Terms & Conditions, which include our cancellation fee schedule. Because we pay hotels, porters, guides and park authorities in advance, cancellation charges apply from the moment a booking is confirmed.
Any request to cancel or change a booking must be made in writing to sales@topiadventure.com. The date we receive your written notice is the date used to calculate charges. Please also read our cancellation schedule.
We strongly recommend travel insurance that covers trip cancellation, medical costs and, for Kilimanjaro, high-altitude trekking and helicopter evacuation.
Passports, visas and travel documents
You are responsible for having the correct documents for your trip. This includes a valid passport with at least six months remaining, the appropriate visa or entry permit, and any health documentation. Please check the requirements for your nationality before booking and again before you travel.
- Your passport should be valid for at least six months beyond your intended date of departure and have at least two blank pages.
- Most visitors require a Tanzania visa or e-visa. We can point you to the official immigration portal, but the application is yours to make.
- A yellow fever certificate may be required if you arrive from, or have transited through, a country with a risk of yellow fever transmission.
- Your travel insurance details, and any vaccination records you hold.
We are not responsible if you are refused entry to Tanzania, refused boarding by an airline, or delayed because your documents are not in order. No refund is due in those circumstances.
Travel insurance
Adequate travel insurance is a condition of travelling with us. Cover must include medical treatment and emergency evacuation, trip cancellation and curtailment, and personal belongings.
For Kilimanjaro, your policy must specifically cover high-altitude trekking and helicopter or mountain rescue. We may ask to see proof of cover before departure, and may not be able to let you start a climb without it.
Health, fitness and medical matters
Adventure travel in Tanzania demands a reasonable level of fitness. Kilimanjaro in particular involves sustained walking at altitude, and our guides rely on you to declare any condition that could affect your safety.
- Answer our health declaration honestly. This lets us plan for your safety and, where necessary, advise on medication such as acetazolamide.
- Tell us about any allergies, dietary requirements, medication or mobility needs well before departure.
- Carry any prescription medication in your hand luggage, with a copy of your prescription.
- If you are pregnant, please tell us before booking so we can advise on altitude, malaria and remoteness.
Itineraries, safety and force majeure
Our itineraries describe what we intend to do. They are not a guarantee. Wild animals, weather, road conditions, park authority decisions, flight delays and other factors can force last-minute changes. When this happens we will rearrange things to give you the best possible experience and will always put your safety first.
A Force Majeure Event means anything beyond our reasonable control, including natural disaster, epidemic or pandemic, war, civil unrest, terrorism, government action, park closure, road closure, extreme weather, or industrial action. If a Force Majeure Event affects your trip, we will tell you promptly and discuss the options available to you.
A full refund is not guaranteed where a Force Majeure Event prevents travel. Suppliers may refuse to refund deposits already paid, and any such non-recoverable costs are yours to bear, which is one reason travel insurance is so important.
Our responsibility and liability
We accept responsibility for arranging the services described in your confirmed itinerary with reasonable skill and care. Where we use independent suppliers — including hotels, camps, transfer companies, airlines and activity providers — we select them carefully, but we do not control them and are not liable for their independent acts or omissions except as required by Tanzanian law.
Where you or a member of your party suffers injury, illness or loss connected to the services we have arranged, we will provide reasonable assistance. We are not liable for any injury, loss or damage caused by your own actions, by a third party unconnected with our services, or by an event we could not reasonably foresee or avoid.
Except in the case of death or personal injury caused by our negligence, or fraud, our liability is limited to the amount you have paid us for the trip in question. Please read this section carefully, as it limits our responsibility.
Complaints
If something is not right during your trip, please tell your guide, driver or our office immediately so that we have the chance to put it right on the spot. Most issues can be resolved quickly, and much more easily while you are still travelling with us.
If a problem cannot be resolved and you wish to complain formally, please write to sales@topiadventure.com within 28 days of the end of your trip, giving your booking reference and full details. We will investigate and respond promptly.
